Symposium Aspect
1. Acceptance and amendment of the General Terms and Conditions
By purchasing a 2-day Pass, the customer declares that they have read these General Terms and Conditions and that they expressly accept them. This acceptance, which is given by double clicking a checkbox and the order confirmation button, can only be full and complete. Any conditional acceptance shall be considered null and void. Customers who do not agree to be bound by the General Terms and Conditions may not purchase a 2-Day Pass.
The Organizer reserves the right to update and amend the General Terms and Conditions at any time. In the event of an amendment to the General Terms and Conditions, the applicable terms and conditions are those in force on the date of the order.
2. Conditions of access to 2-Day Passes
2-day Passes are only available to:
– Professionals, i.e. any natural or legal person, public or private, who is acting, including through the intermediary of another person acting in their name or on their behalf, for purposes falling within the scope of their commercial, industrial, craft, liberal or agricultural activity,
– and Students,
collectively referred to as the “Customer”.
3. Purchase of a 2-Day Pass and registration on the Website
Customers wishing to purchase 2-Day Passes must select their category (Pros, Students), fill in their identification data, choose the number of 2-Day Passes required, accept the General Terms and Conditions and pay.
Customers acknowledge and accept that the purchase of 2-Day Passes requires registration on the Website and acceptance of the attached general terms and conditions of use of the Website, which form an integral part of these General Terms and Conditions.
Customers guarantee that all the information they provide in the Pass purchase form, and subsequently to complete their profile on the Website, is accurate, up-to-date and true, and is not misleading in any way.
They undertake to update this information in their personal area in the event of any changes without delay, so that it always corresponds to the aforementioned criteria.
4. Dates and venue of the Event
4.1. The Event shall take place from November 19th to November 20th, 2024 according to the times indicated in the Program tab of the Website. Nevertheless, the Organizer may close entry to the Event before this time in order to comply with a health protocol and/or for safety reasons, in particular when maximum capacity has been reached.
4.2. The Event takes place in Château-Saint-Léger, 34, rue de la Croix-de-Fer – 78100 Saint-Germain-en-Laye, France.
5. Access to the Event and to the workshops and sessions on offer
5.1. The purchase of a 2-day Pass gives access to the Event during its 2 days.
5.2 Access to the conferences is in principle free, except in cases where access is restricted by specific conditions or where access is limited to persons with a personal invitation. Customers are always invited to check on the Website whether prior registration is necessary to attend certain conferences. Access to events shall be subject to availability. The Organizer cannot guarantee Customers that they will be able to access the conferences they have chosen. The Organizer advises Customers to arrive at the conference room or venue before the time indicated on the program.
5.3. The titles of conferences may be changed up until the day of the Event. If the description of a conference is changed, the Organizer shall, if necessary, publish the new description for conference that has been changed on the Website.
5.5 At the Event venue, the use of radio communication equipment is strictly prohibited and must be submitted to the Organizer for prior authorization.
6. Price of Passes
6.1 All orders for 2-day Passes are payable in euros only. The Organizer has entrusted Le Lab Quantique with the task of securely processing payments. Customers are invited to comply with the proposed transaction procedure, it being specified that orders shall be confirmed and shall be binding on the Organizer as soon as the Customer receives an acknowledgement of receipt by email confirming that the order has been validated.
6.2. The purchase of 2-day Passes is only available on the Website. No other website publisher is authorized to sell 2-day Passes, regardless of the type of pass. The Organizer cannot be held liable if Customers are unable to access the Event due to purchasing 2-day Passes from a non-partner online merchant. Similarly, the Organizer shall not be liable in the event of on-the-fly purchases from resellers. Participants are therefore invited to keep the receipt for their 2-day Passes.
6.3 The Pro 2-day Pass price is €250 and the Student 2-day Pass price is €50.
7. Cancellation or refund
7.1. The Customer has a right of withdrawal up to 15 (fifteen) business days before the Event. In order to exercise such right of withdrawal, the Customer must send an email (the “Withdrawal Notice”) to the Le Lab Quantique at the following email address: simeon@lelabquantique.com. Upon receipt of the Withdrawal Notice, Le Lab Quantique will proceed with the refund of the price paid by the Customer within ten (10) business days from such receipt of the Withdrawal Notice. No refund shall be possible from 14 (fourteen) business days before the Event.
7.2. The 2-day Passes are personal and non-transferable.
7.3. Postponement of the Event by the Organizer. If the Event is postponed by the Organizer for reasons beyond its control, 2-day Passes shall not be refunded but shall remain valid for the new date set for the Event. Customers are therefore asked to retain their proof of purchase and/or Pass. Furthermore, no compensation shall be paid by the Organizer.
7.4 Changes in the organization of the Event due to an event beyond the Organizer’s control. Customers are informed and accept that certain changes to the organization of the Event may be decided by the Organizer. Among these changes, the programs, speakers, themes, format and dates of the Event may be changed and may require substitutions, changes, postponements or cancellations, particularly with regard to the content, speakers, venue, timing or dates of the Event. The Organizer reserves the right to do so at any time without being liable to the Customer for any costs they may have incurred or for the refund of the 2-day Pass. The Organizer may decide to change the venue of the Event if external constraints oblige it to do so. In this case, as long as the Event is still taking place in Île-de-France, the 2-day Pass shall not be refunded and no compensation shall be paid by the Organizer.
If the Event is postponed or cancelled for reasons other than those mentioned in 7.3 and 7.4, the 2-day Pass shall be transferred to the following year’s event, unless a refund is requested by the Customer within 6 months of the announcement of the postponement or cancellation.
The Organizer shall endeavor to inform the Customer as soon as possible of any cancellation, postponement or change by publishing updated information on the Website.
Illness (even in the case of a COVID-19 positive or contact case), the court-ordered or out-of-court liquidation of the Customer, the failure to obtain a visa or any other document that may be necessary, and more generally the inability of a Customer to access the Event for any reason whatsoever, may not give rise to the refund of 2-day Passes or any compensation from the Organizer.
8. Force majeure
The Organizer shall not be liable for any breach of these General Terms and Conditions, nor for any delay or failure to perform these General Terms and Conditions where such breach or delay is due to a case of force majeure as defined by Article 1218 of the French Civil Code. Consequently, and without this list being exhaustive, the following cases of force majeure preventing access to the Event or the holding of the Event shall release the Organizer from its obligations: adverse weather conditions, strikes, riots, terrorism and the implementation of associated government measures, for example the Vigipirate plan (French national security alert system), war, acts of God, a pandemic, the threat of an imminent risk to the safety, health or security of persons and property. 2-day Passes shall not be refunded and no compensation shall be paid by the Organizer.
9. Health and safety measures
If the Customer is unable to access the Event due to non-compliance with the health and safety instructions and/or protocol required for entry to the site hosting the Event, they shall not be entitled to a refund of the price of their 2-day Pass or to claim any compensation whatsoever. Consequently, it is the Customer’s responsibility to check, in particular by consulting the Website, which health and/or safety obligations must be complied with in order to gain access to the venue of the Event. The Customer must strictly apply the health and/or safety rules for the duration of the Event, which are available on the Website. The Customer acknowledges and accepts that the Organizer cannot be held liable for any damage caused by failure to comply with the health and/or safety rules.
Furthermore, the Client is informed and accepts that an identity check and a check of personal belongings shall be carried out by the security team assigned to the reception of the Event. If the Customer refuses to undergo these checks, they may not take part in the Event, the 2-day Pass shall not be refunded and no compensation shall be paid by the Organizer.
For safety reasons, it is strictly prohibited to bring in weapons, explosive, flammable or volatile substances, bottles, containers, sharp or blunt objects and generally any object likely to be used as a projectile, any dangerous object, signs and banners of any size of a political, ideological, religious or advertising nature. Any offender shall be held responsible and liable to prosecution. In addition, any person who violates this prohibition or is likely to cause a disturbance to the organization of the Event and/or to the safety of property and persons and/or to the health of persons shall be immediately excluded. No refund of the 2-day Pass or compensation for the person concerned shall be due.
The Organizer reserves the right to amend or change the health and/or safety measures without prior notice.
10. Decent behavior and anti-harassment policy
The Event brings together the best players in innovation to bring about positive change in companies and society. The Event must be safe, respectful and enjoyable for all. Participants are therefore required to comply with this policy, which is based on the principles of courtesy and respect. They must behave in a professional and appropriate manner in order to avoid any prohibited behavior.
The Organizer prohibits actions or behavior that have an impact on the safety and well-being of a participant, including the promotion of any criminal or violent activity, harassment, or stalking; inappropriate language and/or physical contact and unwanted sexual intent; behavior or actions considered threatening.
Such behavior is strictly prohibited. If the Customer engages in such behavior, the Organizer may take any action it deems appropriate, including expulsion of the offender from the Event without refund, the temporary or permanent suspension of access to the Event without prejudice to any legal claim the Organizer may make. If the Customer observes or witnesses any unprofessional or inappropriate behavior while attending the Event, they should contact the Event staff and/or report it to the Organizer immediately. The Organizer shall take all concerns raised seriously and deal with incidents in the strictest confidence.
11. Personal data
The Organizer collects and processes personal data relating to Customers in order to manage their participation in the Event.
12. Image rights
Customers are informed that photographic and/or audiovisual recordings may be made by the Organizer, exhibitors and the press throughout the Event and in all areas open to the public (session rooms, exhibition area, VIP lounge and outdoor areas in particular). In this context, Customers acknowledge and accept:
• (a) that their image may be captured in photographs and/or films that shall be produced;
• (b) that the photos and films may be reproduced and represented on any medium, due to the rights of distribution by the Organizer or exhibitors of any informative, documentary (e.g. video podcasts) or promotional photos or films related to the Event for any current or future edition of the Event. These broadcasts are authorized for any media or medium, by all means and in all technical forms known or unknown to date, for the entire world.
Participants may exercise their right to access, rectify and delete their image free of charge, in accordance with the terms and conditions set out in the Organizer’s personal data page.
13. Miscellaneous
13.1 Animals are not permitted on the Event site under any circumstances, unless the Customer is disabled, in which case the Customer may be accompanied by a guide, assistant or pet.
13.2 Flash photography and video recording are permitted for private and press purposes only, using hand-held equipment. Tripods and monopods are not permitted during the Event. In special circumstances, permission may be granted by the Organizer.
13.3 The Customer is responsible for their personal belongings (including camera, computer, handbag, etc.) and the Organizer shall not be held liable for any loss, theft or damage.
13.4 If any of the provisions of the General Terms and Conditions were to be declared null and void or unenforceable due to a law, a regulation or following a final decision handed down by a competent court, only this provision would be rendered null and void, and the other provisions shall retain all their force and scope.
